TERMS, CONDITIONS, AND REGULATIONS FOR HIRE OF THE CLUBHOUSE
- The club will be opened by a member of staff, unless agreed otherwise.
- The club is let on the understanding that any member of staff has the right of entry at any time to the area hired.
- The times booked should be adhered to at all times or further charges will be applied.
- Should the member of staff that opens the club, before the function or hire commences, believe that it is likely to prove of an objectionable and undesirable character, they have the full power to cancel the booking, return the hire fees, and will not be liable to pay any compensation.
- Regular hirers must pay monthly in advance. A non-refundable deposit as stated is payable for all other bookings and the balance must be paid 4 weeks prior to the day of the function.
- A security bond will be payable at the time of booking and will only be refundable on satisfied inspection of the area used after the event.
- All drink requirements must be supplied by the club at all times, under the terms of the premises license. No beverages can be brought into the club without the express permission of the club. This includes wine, champagnes, beer, spirits, and soft drinks.
- All catering requirements must be supplied by/approved by the club.
- There is no smoking inside any of the club buildings.
- The hirer will be responsible for the cost of repairing any damage caused, replacing furniture or fittings lost or damaged, or deep cleaning the building in the event that an unnecessary mess is caused. In the event of this, the security bond, if applied, may be held back to cover these costs.
- At the end of the hiring period, the hirer is expected to leave the premises and surrounds in a tidy condition and any item temporarily removed from its usual position should be properly replaced. Users of the kitchen are requested to remove from the premises all bottles, containers, confectionary, trays, etc. at the end of the hiring period, as well as any decorations, etc. within any part of the club otherwise the club reserves the right to charge for removal or disposal.
- The hirer will be responsible for the proper conduct of persons using the club. Please advise guests that the club is in a residential area and ask them to respect residents by not making excess noise when leaving the premises
- The club does not accept responsibility or liability for any damage or loss of property of things that are placed and left upon the premises whilst the club is being hired.
- The hirer should make themselves familiar with the fire procedures for the club and inform club staff at the time of booking of any factor that involves extra fire risks.
- The hirer must ensure that any electrical equipment brought in to the club is in good and safe working order.
- The hirer shall indemnify the club against all claims, demands, actions or proceedings in respect of the default or injury caused by or to any person which shall occur whilst the person is in or upon club property or arise from an accident whilst at the premises, or in respect of any loss or damage suffered or sustained by any person.
- The hired room(s) and toilets are the only area(s) to be used by the hirer and accepts all other rooms will be either locked or classed as out of bounds unless a request is made.
- Gambling of any kind is strictly prohibited.
- The hirer shall not subject or use the premises for any unlawful purpose or in any unlawful way, nor do anything or bring on to the premises anything which may endanger the same.
- All groups working with young people should have their own insurance and staff checks e.g. CRB checks. The club takes no responsibility for this and recommends if unsure you seek appropriate advice.
- The hire of any Bouncy Castle or such like is the responsibility of the hirer. We advise you to have someone supervising the use of this type of equipment at all times and take adequate insurance for any damage or injury that may occur. SGRFC will not be held responsible for the receiving of the item so you should make sure that you organise the delivery at the start of your booking time.
The hirer accepts these terms and conditions on the basis that he/she as named will be held fully responsibility during the hire period.
TERMS AND CONDITIONS FOR OVERNIGHT CAMPING (IN ADDITION TO OUR USUAL HIRE TERMS & CONDITIONS)
- The club reserves the right to appoint security staff to monitor the premises overnight. The cost of this (£10/hr) will be payable by the hirer.
- We ask that you take care of the pitch while you are our guests. If your ground sheet is not breathable please lift it every day. If you stay for more than 7 nights, please move your tent to another area of the pitch to reduce wear and tear on the ground
- Barbeques must be purpose-built and portable, standing clear of the ground. There must be no possibility of damage to the ground. Only gas or charcoal barbeques should be used.
- Campfires are not permitted at the club
- Do not pour hot water on the grass
- The use of generators is not permitted on site.
- Cutting or damaging trees and other vegetation is strictly prohibited and the natural conditions are not to be disturbed
- Pets are welcome at the club but you are responsible for the behaviour of your animals. Please ensure that your animals are not allowed loose on site and are kept on a lead no longer than 2 metres. You must ensure that your pets do not foul the site and you are responsible for cleaning up after them. If it is deemed a pet is creating a nuisance or causing disturbance to others, you will be asked to remove them from the site. Please note we do not allow on-site any breed of dog listed under the Dangerous Dogs Act 1991.
- It is the responsibility of parents and guardians to ensure children are supervised at all times, whilst on site. Special consideration should be given to the use of toilet & showers
- Bins are provided for your day-to-day rubbish. Please do not use them to leave broken equipment, groundsheets, surfboards, etc. We pay to have our rubbish collected and so a £50 fine will be given to anyone found doing this.
