11. Player Registration Process for the 12/13 Season


Players who want to play Kew AFC for the 12/13 season need to register via the Club with the Surrey Youth League. Whether a player has played for the Club before or is new to the Club they need to apply each new season. Please read and understand the process below so you can explain it to parents. There is an article in the Parents Section of the Website that explains the details to them.

It is possible to start registering players as of the 1st April 2012. If Team Managers start this process themselves then they will need to access the "Team Registration Form" off the Surrey Youth League Website. However please only collect signatures. The Club Youth Secretary will eventually request the form and will contact the Players directly for the rest of the requirements as outlined below.

The process looks very complicated but if you follow it then your responsibilities for the process will be minimal.

It is very important that Team Managers comply with this process or else it makes the work involved for the Club Youth Secretary much harder on top of what is already a very challenging process.

Put simply the Team Managers role in this process is to get the Player to agree to be registered then pass the Player's parent's email and/or mobile details on to the Club Youth Secretary. Then be available to receive their Registration Card. That's it!

The registration process for the 12/13 season is as follows:

  1. The respective Team Manager will ask the Player to register for the team.
  2. The Player and their Parent/Guardian will agree for the Player to be registered for the 12/13 season.
  3. The Player and/or Parent/Guardian will provide the Manager with at least a mobile phone number or email address of a Parent/Guardian who will be responsible for the registration process of their child. It is a Club Rule that any contact details provided to a Club Official such as a Team Manager must be up to date and accurate.
  4. The Team Manager will pass this contact information on to the Club Youth Secretary.
  5. The Club Youth Secretary will then request from the parent/guardian either an email address or home postal address if one has not provided already.
  6. The Parent/Guardian will provide the Club Youth Secretary with either an up to date email or home postal address.
  7. The Club Secretary will then write to the Parent/Guardian (or player if 16 or over) with various paperwork including: Request for Subs payment, Request for ID including copy of passport or birth certificate (if relevant), Code of Conduct Form, Club Registration Form and Club Constitution.
  8. The Parent/Guardian will then complete the required paperwork and return to the Club Youth Secretary along with requested subs payment.
  9. For Players to be registered before 31st July they will need to sign a "Multiple Player League Registration Form". This can be done by the Player meeting with the Manager to sign the relevant form. The form is available on the Surrey Youth League Website - please note only name and signature is required. When the Manager has at least eight names and signatures the Form needs to be given to the Youth Secretary before 30th July. Failure todo this will result in a Team fine and potential exclusion from the League.
  10. For Players who register after 31st July an "Individual League Registration Form" will be sent directly with the other registration requirements.
  11. Any Players or Parents/Guardians who want to pay Subs by cash will need to attend one of the published "Club Nights" or "Registration Sessions". It is important that any Subs payment is made directly to the Club Youth Secretary and not anyone else.. The Club will not be held responsible for any payments given to any other person where it is subsequently lost.
  12. Once all the payments, forms and identification have been returned to the Club Youth Secretary then the they will apply to the League for the Player's registration. This process will include ensuring the Players details are in the "Prawn Sandwich" database. If Team Managers want to update this information themselves then you will need to request to have access codes from the Club Youth Secretary. These access codes must not be shared with anyone.
  13. The League will confirm to the Club Youth Secretary that the registration is complete by provision of a Registration Card. The Club Youth Secretary will then confirm with the Player and respective Team Manager that this has been completed and forward the Registration Card on to the Team Manager. This Card will be retained by the Team Manager for the duration of the season or up until the player requests a transfer away from the Team.

Please note that any cheques that are given to the Club may not be presented for a few months. There will be admin fee charged to the Parent/Guardian of £25 should a cheque be rejected by the bank. If any Parent/Guardian is in doubt about being able to honour a cheque it is recommended that the payment is made in cash.
